Set up inbox work and edit reply drafts

Select a mailbox, define the processing scope and review saved replies in one place.

Choose the inbox responsibility in Setup & preferences. Describe which mail matters, which dates or folders to process, how to handle uncertainty and whether you want proposed replies. In Accounts & resources, connect the account and select the specific mailbox requested by the responsibility.

Connecting a mailbox does not itself run organization or process historical mail. Start a task with an explicit scope, or create recurring work once the account and permissions are ready. Check the selected scope before requesting a backlog. Account consent and the coworker's action permissions are distinct settings.

When the coworker has an attached mailbox responsibility, its Inbox work tab shows Reply drafts and Mailbox messages. Search synchronized messages and open the original thread, or edit an original saved draft. The queue can include work from you and other coworkers sharing the mailbox. Shared attention queue opens the team's routing and review queue; it is a separate view of work requiring attention.

Open a draft to edit its recipients, subject or message. Save changes before approving or sending. If another tab changed the draft, reload its latest version and review your changes before saving again. Updating a draft does not create a duplicate reply.

Approval and sending are separate actions with separate statuses. A proposed or approved draft is not proof of delivery. A failed send retains its failure state for review. Check the final provider result and receipt before assuming a message was delivered.

Correcting one draft changes that draft. To change future behavior, update Setup & preferences or give an explicit ongoing instruction, such as remembering a rule for that responsibility. Neither editing a reply nor connecting a mailbox automatically activates recurring work.
