How billing works

- A package becomes billable when it is delivered and its receipt is written. You are emailed as it lands.
- A disclosed PARTIAL package counts once its supported documents and exception list are delivered; the statement labels it PARTIAL.
- Billed once per intake. Corrections, held letters released later and refreshed documents for the same case never add a charge.
- Drafts that were not delivered, research-only attempts and parked intakes are not billed.
- Each period statement lists every delivered package as one line with the client name linking to the delivered folder.

Questions firms ask
How do I give the agent a new intake?
Exactly the way the intake desk works today — email the signed packet to the intake mailbox the agent attends. An email in the queue folder is a pending case; when it leaves the queue, or your case database shows the client entered, the case is treated as done.
Do packets have to be attachments?
Either works. Packets may arrive as PDF attachments or as OneDrive or SharePoint sharing links in the email body; linked packets are retrieved automatically. A follow-up message on the same case is correlated and re-read.
I sent a correction after the packet went in. What happens?
Correction emails from the intake desk outrank the original. The case is updated and the affected documents are regenerated cleanly; the delivered folder is refreshed in place. A refreshed case is never a second charge.
What happens to intakes that are not workers' compensation cases?
They are parked, not drafted. A personal injury intake is held for a human routing decision and appears as an exception, never as a billable package.
Do I have to log in for the work to happen?
No. The agent shadows the intake mailbox and infers each case's stage from what appears there; staff change nothing about how they work. The workspace is there when you want to ask a question, read the receipt behind a charge, or review what was delivered.
How do I know a package is ready?
One delivery email per delivery, to the firm's designated recipients. It names the cases just added, shows each case's status, and links every client name to that client's folder. The email is a notice — nothing has been sent or filed on your behalf.
What does PARTIAL mean?
The supported documents were delivered but at least one fact could not be established from the packet, the public records, or your own data. That fact appears as a visible VERIFY marker and is listed in the delivery email. Send the missing fact to the intake mailbox and the documents are regenerated.
Why is the insurance letter sometimes missing?
Because the carrier could not be verified yet. Rather than issue a letter to a guessed carrier, the agent holds it; once coverage is verified the letter is released and the folder refreshed.
Can the agent file or serve anything for us?
No, by design. Proof-of-service documents are prepared for the venue; the signer, e-filing and service stay with the firm. The agent never contacts a court, a carrier, an employer or opposing counsel.
Do our client documents leave the firm?
Scanned pages are read by OCR inside the engagement's own environment; page images are never sent to a model provider. Only the text needed for structured extraction goes to the configured provider. Deliverables are written only to your workspace.
Whose identity is used on government websites?
A real, authorized operator identity — never a client's and never a fabricated one. Terms of use are accepted by that operator, one-time codes are typed by a human, and lookups run one case at a time at human pace. Each lookup's search terms, source, date and capture are filed with the case.
What happens when the agent is not sure?
It stops and says so. A search with no result is recorded as not found, an ambiguous identity halts the case, an inconclusive public-record search is recorded as inconclusive, and a repeated tool error is escalated to a human.
